Office Manager

We're looking for an organized, energetic and growth-oriented Office Manager to handle payroll, accounting, financial analysis and minor HR functions, in addition to standard administrative duties. We are a small IT consulting firm, but we work at a rapid pace, so an ability to multi-task and think "on your feet" is essential.

Responsibilities  
  • Accounting and Contracts Management
    • Review contracts and purchase orders for accuracy.
    • Ensure that client billings are accurate and timely.
    • Ensure that accounts receivable is timely collected.
    • Ensure that accounts payable obligations are timely paid and accurately tracked.
    • Provide monthly, quarterly and annual financial analyses.
    • Manage the development of the annual budget.
 
  • Human Resources
    • Design and implement company-wide standards, policies and procedures.
    • Review and approve time sheets and expense reports.
    • Prepare payroll.
    • Track sales commissions.
    • Manage and oversee outsourced HR functions.
    • Recruit office staff.
    • Manage the onboarding process for new employees.
    • Ensure that personnel files are maintained, updated and secured
 
  • Office Management
    • Assign and monitor administrative and clerical functions.
    • Ensure that filing systems are maintained, updated and secured.
    • Define procedures for records retention, protection and disposal.
    • Dispose of records according to retention policies.
    • Maintain and replenish office equipment and supply inventories.
    • Manage the office facility, including relationships with vendors, such as cleaning, maintenance and equipment providers.
    • Plan and oversee quarterly corporate events.
    • Schedule and lead company-wide meetings.
    • Manage schedules.
 
 Qualifications  
  • Bachelor’s degree from an accredited college or university.
  • Advanced knowledge of the Microsoft Office suite, including Excel.
  • Advanced knowledge of Quickbooks.
  • At least 5 years’ experience in office management, preferably in a small business setting.
  • Experience managing accounting, payroll, and financial analysis.
  • Experience managing minor HR functions.
